Getting Started

1 Creating Your First Project

Start by creating a new project to organize your tasks and AI Focus Tool.

  1. Navigate to the Projects view (default screen)
  2. Click the "+" button in the top right of the Projects section
  3. Enter a name and description for your project
  4. Click "Create Project" to save
Tip: Use clear, descriptive project names and include enough context in your description to help with AI task generation later.
2 Adding Tasks to Your Project

There are two ways to add tasks to your project:

Manual Task Creation:

  1. Click on your project to open the project details
  2. Click the "Task" button in the action bar
  3. Fill in the task name, description, and estimated duration
  4. Click "Create Task" to add it to your project

AI Task Breakdown:

  1. From the project details screen, click "AI Breakdown"
  2. Enter or refine your project goal and context
  3. Click "Generate Tasks"
  4. Review the suggested tasks, modify if needed
  5. Click "Add Selected Tasks" to add them to your project
Tip: For best results with AI task generation, provide specific goals and constraints in your context.
3 Understanding the Connected View

The Connected View helps you visualize task dependencies and work flow:

  1. From your project details, click the "Connected View" tab
  2. Tasks appear as nodes with dependency lines connecting them
  3. Use the zoom controls to adjust your view
  4. Touch and drag to pan around the view (on mobile)
  5. Click/tap on any task node to see its details

Understanding the colors:

  • Blue border: Standard task
  • Green background: Completed task
  • Yellow border: Task on the critical path

4 Setting Up Task Checklists

Checklists break tasks into actionable steps:

  1. Open a task by clicking on it from the project details
  2. Scroll to the "Focus Block Checklist" section
  3. Click the "+" button to add manual checklist items, or
  4. Click "Generate Checklist" to use AI
  5. Edit any items to make them more specific to your needs
Tip: Good checklist items are specific, actionable, and completable in a single sitting.
5 Starting a Focus Block Session

AI Focus Tool help you concentrate on a single task for a set period:

  1. From the task details screen, click "Start Focus Block"
  2. The timer will begin counting down from your estimated duration
  3. Work through the checklist items during your focus session
  4. Use the pause button if you need to temporarily stop
  5. When the timer ends, you'll be asked if the task is complete
Tip: Enable notifications in Settings to get alerts when your Focus Block starts and ends.
6 Working with Checklist Item Details

Each checklist item can have its own details and documents:

  1. Click the "eye" icon next to any checklist item
  2. Add notes specific to this step
  3. Create documents related to this item
  4. Use AI to generate reports or documents by filling out the form at the bottom
  5. Click "Save" when you're finished

7 Using the Day Planner

Schedule your AI Focus Tool throughout your day:

  1. Click the calendar icon in the header to open the Day Planner
  2. Navigate between days using the arrow buttons
  3. Click on any hour slot to add a Focus Block
  4. Select the project, task, start time, and duration
  5. Click "Add" to schedule the Focus Block

To start a scheduled Focus Block:

  1. Click on the block in the Day Planner
  2. Click "Start Focus Block" in the details popup
8 Viewing the Project Dashboard

Get a complete overview of your project:

  1. From the project details screen, click "Dashboard"
  2. View key metrics in the top cards
  3. Navigate between the Overview, Tasks, and Documents tabs
  4. See visualizations of your project progress
  5. Access all project documents in one place

Advanced Features

9 Managing Task Dependencies

Define relationships between tasks:

  1. Open a task's details
  2. Scroll to the Dependencies section
  3. Click the "+" button to add a dependency
  4. Select another task that must be completed before this one can start
  5. Click "Add" to create the dependency

You can also have AI analyze and suggest dependencies:

  1. From the project details, click "Analyze Dependencies"
  2. Review the suggested dependencies
  3. These will be automatically added to your tasks
10 Creating AI-Generated Documents

Generate documents based on your tasks and checklist items:

  1. Open a checklist item's details
  2. Scroll to the "Generate Document with AI" section
  3. Select a document type (Report, Notes, Research, etc.)
  4. Describe what you want the document to cover
  5. Click "Generate Document"
  6. Review and use the generated content
Tip: Be specific in your document generation prompt for the best results. Include any particular format or details you need.
11 Data Backup and Transfer

Export and import your data:

  1. Go to Settings (gear icon in header)
  2. Click "Export Data" to download a JSON file
  3. To import, click "Import Data"
  4. Paste the JSON content or load the file
  5. Confirm the import
Tip: Regularly export your data as a backup. This is especially important since data is stored locally in your browser.

Frequently Asked Questions

How is my data stored?

AI Focus Tool stores all your data locally in your browser using localStorage. Nothing is sent to external servers (except when using AI features). To backup or transfer your data, use the Export/Import features in Settings.

Can I use AI Focus Tool offline?

Most features work offline, but AI features require an internet connection. The app itself can be loaded and used without internet access after the initial load.

How do I add dependencies between tasks?

Open a task's details, scroll to the Dependencies section, and click the "+" button to add a dependency. You can also use the "Analyze Dependencies" button on the project page to have AI suggest logical dependencies.

What is the "Critical Path"?

The Critical Path is the sequence of tasks that determines the minimum time needed to complete the project. Tasks on this path (shown with a yellow border in Connected View) have no slack time - delays in these tasks will delay the entire project.

How can I get the best results from AI document generation?

Be specific about what you want in your document prompt. Include details about the format, tone, and specific content you want covered. The AI has access to your project, task, and checklist item context, so it can incorporate relevant details automatically.

Can I customize the Focus Block duration?

Yes, when you create or edit a task, you can set the estimated duration which becomes the default Focus Block time. You can also adjust this when scheduling a block in the Day Planner.
